As a site admin, you are able to mass schedule students to a course or their home base. After logging in, go to the Admin page. From here, under App Settings, select 'Mass Schedule.' This page gives you a number of options to schedule multiple students to courses including by grade level or even by means of a list of student Ids.
Scheduling At The Grade Level
The page is designed using a Wizard approach that walks you through the steps of the process. The first step is to choose how you want to select the students. In the first case, you would select "Graduation Years", and using the drop-down you select which graduation year or years identifying the students.
Next, you will need to select the date range, choose which days within the selected date range this appointment applies to, and then choose the school period it applies to.
Mass Scheduling Students Into Their Homeroom
On the next page, If you want to place students into their respective homerooms or home base, check the box that says "Schedule to [Your Flex Time Name]". This will disable the staff drop-down selection, and whatever group of students you have been selected will be scheduled to their homerooms. A staffer doesn't need to be selected when the students are being scheduled to their homeroom or home base.
Mass Scheduling Students to a Specific Teacher
If you don't want to mass schedule the students to their homerooms or home base but instead to a specific teacher, do not check the box and select the staffer from the first drop-down list.
After making a staff selection the right side of the screen will display what courses the staffer has set up for days within the date range you selected. This allows you to see, at a glance, if there might be a conflict before you schedule. Then select the appointment type that you want applied to these appointments. You can also add a note to these appointments if you choose to.
When scheduling a large group of students, especially if multiple days are selected, students may already be scheduled for appointments during this time. If you want to overwrite their current appointments, either for their Homeroom or Subject Matter course check the boxes. If you leave them unchecked, those appointments will remain scheduled.
Similarly, if you want to allow students to change the appointments you're creating, check the 'Allow Students to Modify Appointment' box. And if you want to prevent other staff members from changing the appointments, select 'Lock Appointments.' If there are current appointments that are locked that you wish to overwrite you can check the box 'Overwrite Locked Appointments'.
Next you will be presented with a summary of the number of appointments that will be created with this update.
After verifying the appointments to be created, click the schedule button. That's it! If there are any errors during this process, you will get an error message at the top of the page indicating why the scheduling process didn't work.
Scheduling By Means of a Student ID List
To schedule a large number of students or to schedule select students of differing graduation years as a group, you can utilize a list of student Ids.
Every step of the Mass Schedule process remains the same, but rather than "Schedule by Graduation Years" on the first step, select the option to "Schedule by File".
After selecting this option, you can then choose the .csv file that contains the list of student Ids that represent the students that you would like to include in the schedule change.
Note: The list needs to be a .csv file, not an Excel file, and it cannot contain duplicate values.
The file requires a header as shown below, and the data will simply be a list of student Ids from your source system that identify the students.
Once the selection is made, you are ready to complete the process.
The schedule changes will be applied to all of the students whose Ids exist in the file.
