As a site admin, you are able to schedule all students in a particular grade to a course. Logged in, go to the Settings page. From here, under App Settings, select 'Mass Schedule.' This page gives you a number of options to schedule multiple students to coursed including by grade level or even by means of list of student Ids.
Scheduling At The Grade Level
First, you will need to select the course you want to schedule the students for. If you want to place students into their respective homerooms, the first option in the Select Course drop down after "(select)" will do that. It will read something like 'Students to their Flex Block'. The phrase Flex Block might be different, based on your school, but it will be the first value after "(select)".
Then set the appointment type, as well as the schedule date. If you wish to schedule students in a range of dates, select the day you want to start and end on. In addition, you can add a comment if you wish to explain why the students are being scheduled.
Next, if your school uses multiple periods, you'll want to select which period or periods these students will be scheduled to. The check-boxes allow you to select which periods, on which days you want to schedule students. If you have only scheduled students for a single day, check the boxes for that day. However, if you set a range of dates, let's say a start and end date that span two weeks, these check-boxes allow you to select which days of the week within that range you want students to be scheduled.
When scheduling a large group of students, especially if multiple days are selected, sometimes it is possible that students may already be scheduled for appointments during this time. If you want to overwrite their current appointments, either for their Homeroom or Subject Matter course check the boxes. If you leave them unchecked, those appointments will remain scheduled.
Similarly, if you want to allow students to change the appointments you're creating, check the 'Allow Students to Modify Appointment' box. And if you want to prevent other staff members from changing the appointments, select 'Lock Appointments.'
Now that your appointment is all set up, you can select who you plan to schedule. You can either schedule by file, by uploading a CSV file of students whom you wish to schedule. Or, you can select 'Schedule by Graduation Year.' If you select this option, then check the year or years you wish to schedule in the 'Graduation Years to Include' drop-down.
Now you can select Schedule Students! Please note, as doing so might include a large number of students, this process may take a few minutes to complete.
And that's it! If there are any errors during this process, you will get an error message at the top of the page that will notify you was to why the scheduling process didn't work.
Scheduling By Means of a Student ID List
To schedule a large number of students or to schedule students of differing graduation years as a group, you can utilize a list of student Ids.
Every step of the Mass Schedule process remains the same up to the point where the graduation year is selected. Instead, select the option to "Schedule by File", rather than "Schedule by Graduation Years".
After selecting this option, you can then choose the .csv file that contains the list of student Id that represent the students that you would like to include in the schedule change.
The list needs to be a .csv file, not an Excel file.
The file requires a header as shown below, and the data will simply be a list of student Ids from your source system that identify the students.
Once the selection is made, you are ready to complete the process.
The schedule changes will be applied to all of the students whose Ids exist in the file.
