What is Self-Scheduling?
There are instances in which a student is allowed to create an appointment or override an existing appointment. The process of making this adjustment is referred to as “Self-Scheduling”.
There are three settings that work in conjunction to allow a student to do this:
The Student’s Profile
(Note: The following information is related to settings that only an administrator can view and change)
When a student is created or edited (Settings > Manage Students), the options exist for allowing the student to “schedule self” and also for “overriding appointment”.
If the student’s schedule is open (no appointment scheduled) and the “Can Schedule Self” option is checked, the student can create their own appointment.
If an appointment exists, the student cannot change it unless the “Can Override Appt” option is checked.
There is an additional setting that affects the ability of a student to change an appointment, but this is set at the appointment level.
The Appointment
When properly configured, an appointment can be altered by other users, including students who have the proper permission.
There are two checkboxes that affect a user’s ability to change an appointment and these are available at the time an appointment is created:
- Appt Locked
- Student Can Overwrite
To allow a student to Overwrite an appointment that is being created, check this option.
When scheduling an appointment, the option exists to “lock” the appointment. If this option is on (checked), the option to change or override the appointment is restricted to three roles of users:
- The Enriching Students adminstrator
- The staff member who created the appointment
- The staff member to whom the student is assigned, when different from the scheduler
Therefore, even if a student has the ability to self schedule and also the ability to override an appointment, this does not allow the student to change an appointment that has been “locked”. (See chart at the end of the document)
Typical Example of Self-Scheduling
Example #1
If a student has been assigned to a homeroom / advisory through the Enriching Students pre-booking feature, it is likely that the school simply wants to be sure the student has at least some assignment for the period, but may not be overly concerned with the type of activity the student is involved with.
In such a situation, the appointment would be marked as “can be overridden”, allowing a student who is allowed to self-schedule to change the appointment to another course.
Example #2
Students are not pre-booked for all of their flex periods and therefore there are times when no appointment has been schedule.
In this instance, only the “can self schedule” option in the student’s profile would be required to allow the student to select a course of their choice. Since no appointment exists, the additional option of “overriding an appointment” is not necessary.
