Preparing for 2024-2025 School Year

This document describes what you can expect as the 2023-2024 year comes to a close. It describes:

• How to schedule a year end meeting
• How you can access the prior year's data
• What happens with the nightly imports
• What happens with the appointment, roster and user data
• New features

A Year End Meeting

We love to hear from the schools we work with!  If you're interested in scheduling a meeting with our team to discuss questions you might have, to share observations or to make feature requests, please create an appointment!

Prior Year (2023-2024) Data

Both the staff and student sites will be taken down on Saturday morning, June 29th. As we do every school year, we will make a back up of the current (2023-2024) data. The backup will be offline, but if you need any data for analysis purposes, please open a support ticket and let us know your needs. We'll generate a CSV file and get it sent to you ASAP.

The site will become available again on Monday, July 15. All of the prior year's appointment data will be cleared, but as was mentioned, if you need any analysis data, please open a support ticket and we'll get it to you. In addition to clearing the appointment data, we will clear all roster data as well. Experience has shown with the turnover in students, this is the best approach.

The Nightly Data Import

The nightly imports will be turned off starting June 29th, and will be available again starting July 15. However, your IT department will determine when the new year's data is available to us. Please understand we have no control when your school's data will be available. When you know that your data is available via Clever or ClassLink, open a support ticket and let us know that the nightly sync can start once again.

User Data

We automatically remove substitutes at the end of the year. Experience has shown this is the best approach. This is the time of year when substitutes are often hired as full-time staff. This can cause issues with the import, so the best thing is to simply remove the substitute data.

Once the initial data import has been performed, we will clear out any users that have been marked as soft deleted. Typically this includes the graduating seniors from the prior school year. It could also include any staff that have left your school. The exception to this are users that are marked as "Ignore on Import". These records will not be removed.

New Features

As promised, when your users return for the 2024-2025 school year, the application will look exactly as it did when the 2023-2024 school year ended. We will be creating new features, but we won't be rolling them out to all schools. As they are released, we'll post a message to the site; if your school is interested in the new feature, you can let us know and we'll activate the feature for your school.
