There can be a lot of confusion regarding what it means to import and export data. Often, there are unspoken assumptions that can cause issues once a school starts working with Enriching Students.
The purpose of this document is to clarify what data can be sent to (imported into) Enriching Students and what data can be sent from (exported from) Enriching Students. It details what data sources we support and what happens to the data once we receive it, as well as when we push data to your school.
The first thing to understand is data can come from two different sources, Clever and CSV (Comma Separated Value) files. Enriching Students does not pull any data directly from any Student Information System (SIS).
Clever
Using Clever to import data has several benefits:
- Many schools are already working with Clever
- There is no cost to the school to use Clever
- Once the data is set up in Clever, it can be shared with any number of technology partners.
- Clever provides support in getting data from your Student Information System into Clever.
Once your data is set up in Clever, your tech team simply needs to give Enriching Students access to the data (Clever calls this "provisioning the data"). From there, your data in Enriching Students will be updated on a nightly basis via an automated process.
Clever supports the following data:
- Roster
- Staff
- Student
For more information on working with Clever, please read 10 Steps to set up your Clever Integration with Enriching Students.
Clever Limitations
Clever does not support the following data:
- Attendance
- Grades
The only way this data can be brought into Enriching Students is via CSV files. Please see the CSV Files section below for more details.
There might be users that are NOT in Clever, because they are not in your SIS, but you might want them to be in Clever. For example, you might want to include paraprofessionals, counselors or admins to be in Enriching Students, even though they aren't in your SIS. If that's the case, you will need to create the user in Clever; they will then be imported on the next sync with Clever. These users cannot be created directly in Enriching Students; they will have to come from Clever.
CSV Files
Using CSV files has several advantages:
- Most SISs will allow their users to export data into a CSV format.
- Once the CSV file is created, it can be imported manually, through the Enriching Students site, or it can be set up to be imported in an automated process.
- This could include custom scripts and other services from the district IT staff in order for the process to work as intended.
- The type of data that can be exported to a CSV file from your SIS is likely greater than what Clever supports.
Enriching Students will consume the following data:
- Attendance
- Grade
- Roster
- Staff
- Student
Points to Consider
In order for your CSV data to be usable by Enriching Students, it has to be presented to us in a format that we can consume. This means if you want this data to be imported into Enriching Students, someone on your tech team will have to create CSV files that can be exported from your SIS. These files will need to have specific headers and the order of the columns of data will have to be created correctly.
These files can then be imported manually or in an automated fashion. If an automated approach is necessary, your tech team will need to be able push the data to an FTP location that we provide using credentials that we provide.
Exporting Data
Enriching Students allow for the exporting of appointment data. The site allows you to select the data you need. It will also allow this data to be automatically sent to an FTP location on a once-a-day scheduled basis.
Please note though, Enriching Students does NOT automatically push data into any Student Information System. The data will be FTP'd to your school, but from there, it will be up to your tech team to craft a solution to get the data into your SIS.
Proof of Concept
We appreciate your interest in Enriching Students and we're excited about the prospect of working with you. However, we recognize the need to be sure that the process will work for your school before moving forward.
If the automatic sharing of data is important to your school, please have your Primary Contact set up a meeting with our tech team. We're happy to work with you before you commit to using Enriching Students to ensure that we can meet your needs. We can work with your tech team to set up a proof of concept to ensure that your expectations of sharing data with Enriching Students can be accomplished.
